Annual Meeting

28th October 2020 – 7pm
Lakes Hayes Pavilion

As I mentioned before this should be a fun and informative evening. The formal part of the meeting should not take longer than 15 minutes. I will provide a report of the perevious financial year and a summary of this year to date.

It is anticipated we will normally have the annual meeting in May each year (the club’s financial year ends on 31 March). This date will provide us enough time to tidy up the financials and also be a time of year that allows for winter organisation.

Here are the important documents for the meeting:

Update on Turks

The ventilation system has been partially installed on the Crown Basin Turk. It works by drawing air up through the black panel on the outside of the turk then ventilating it into the 3 tonnes of gravel under the floor. The idea is that warming the underfloor gravel will provide good background warmth during the night.

The system currently runs directly off the solar panel, so the fans only work when the sun is shining. It’s currently a bit noisy but I plan to add more technology to the system and have two modes: one optimised for thermal transfer and the other to minimise noise.

Next club project

Many people expressed interest in joining the club by doing some kind of work.  Last Sunday (25th October) Bill Day flew a group from Soho Properties (the Mahu Whenua land managers) and myself around the Turk sites. We identified the south face of Vanguard and areas around Deep Creek as requiring some wilding pine control work.

My current thinking is to organise a weekend based from the Deep Creek Turk (closest to Coronet Peak) on the weekend of the 5/6 of December. I anticipate many more people will want to attend than can fit in a turk hence we will probably camp around outside. We might use a helicopter to lift people onto various ridges so they can work downhill with some help from gravity.

If you are interested please keep that date free. It will be a good social weekend that achieves a good environmental goal.

Booking system

You can now plan your holiday and book a turk online and pay with you credit card. Currently each night is a separate booking added to the same cart which can all be paid together. A few notes:

  • You can book up to 6 people (2 on the floor)
  • A turk is considered fully booked if all 4 bunks are taken (ie the floor space is not sold by itself)
  • There is a $5 booking fee per night. The costs of running the system (mainly credit card fees, part fixed and part variable). This fee is a bit much for a single person but correct for a booking of 4. We will listen to feedback and change if necessary.
  • The system doesn’t validate membership. This will be done as a manual process for the first few month.
  • I will be distributing discount codes for Founding and Family members in the next week.
